Executive Assistant / Travel Scheduler

Overview

Citizen Engagement Lab, a nonprofit, nonpartisan organization that inspires citizen engagement through digital media and technology, is looking for a Senior Executive Assistant to support the organization's Co-Executive Directors in Berkeley, CA. This is a full-time, salaried position, with compensation commensurate with experience. We are looking for an experienced assistant who is highly organized, comfortable managing multiple tasks in a fast-paced environment, and able to handle sensitive information regarding the organization's funding and operation.

Responsibilities

The Senior Executive Assistant's primary duty consists of performance of office work directly related to management polices and the general operations of Citizen Engagement Lab. This salaried position regularly supports all aspects of the Executive Director's work. Specific responsibilities will include:

Executive Support (90%):

  • Communicate with internal staff and external partners, including funders, re: scheduling for the Co-ED
  • Manage the calendars of the Co-ED
  • Coordinate travel for Co-ED (flights, hotels, car, etc.)
  • Help Co-ED prepare materials for meetings and presentations
  • Conduct ad hoc research on special projects
  • Manage expense reports for Co-ED and complete related financial tasks

Travel Management/Event Coordination (10%):

  • Manage the Egencia business travel software, including updating software, reviewing and ensuring proper utilization by staff, and running monthly reports for Directors on travel numbers and adherence to travel policies.
  • Coordinate travel for all meetings and conferences requiring CEL staff members.
  • Manage overall travel calendar for CEL.
  • Meeting/Event planning and preparation (Board meetings, holiday parties, staff retreats, etc.)

QUALIFICATIONS:

MUST HAVE:

  • At least 5 years work supporting executive staff
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Excellent written communication, research, and organizational skills
  • Experience assisting management with the creation of PowerPoint presentations
  • Strong knowledge of Google Calendaring, Google Apps email and Apple products
  • Experience scheduling travel arrangements for management
  • Must have experience using Egencia or another online travel program.
  • Support experience in a non-profit, non-governmental environment
  • The ability to work well under pressure and handle multiple projects at one time
  • Familiarity with online organizing and progressive politics a plus
  • Must be located in the SF Bay Area

STRONGLY PREFER:

  • Experience successfully creating and/or modifying processes
  • Familiarity with online organizing and progressive politics
  • Bachelor's degree

About CEL

CEL is modeled after a business incubator. We support a select number of projects, providing them with infrastructure to facilitate online engagement, including technology platforms, best practices, and back-end office support. CEL also produces digital media and conducting technology experiments that further the model of engaging citizens online. Our projects are national in scope and regularly make an impact in terms of policy changes and media coverage.
